Overview
Validar allows Organizers to assign point values to activities within an event that they would like Attendees to participate in. This can include attending event sessions and filling out session evaluation surveys.
Points are tallied in a gamified Leaderboard on your event page to create a sense of competition between attendees and boost event participation.
In this document, we will be reviewing best practices for setting up Validar and incorporating it into your event.
Setting up Validar for Your Event
If you would like to incorporate Validar into your event, you will need to email the following items to your Customer Success Manager:
- Event Name
- Event ID
- Points System
- A list of all Sessions included in your Points System
- Session Evaluation Questions
Please review the following subsections for additional information and instructions on submitting these items.
Event Information
Event ID
Your Event ID is located on the Details page of your event. Select the About This Event link at the bottom of the page then copy your Event ID from the popup.
Sessions
Go to the Space page for your event to view a list of all of the sessions included in your agenda. When emailing your CSM, only list the sessions that are including in your Points System.
Points System
A Points System provides information about the rubric you are using to award points. It may also include information about prizes available to guests as well as the conditions for winning them.
Once your CSM receives your Points System, it will be used to create the Points Table your Attendees will view on the day of your event. As such, it is important to make sure that it is organized and easily understood.
A Point System should include the following:
- General instructions for how to win points
- Information about Sessions guests can attend to win points that includes:
- The number of points awarded for attending each session
- The amount of time guests must spend in a session before they are awarded points
- The number of points awarded for completing a Session Questionnaire
- A list of prizes that will be awarded during your event that includes:
- The number of points needed to win each prize and / or
- The point rank that must be achieved to be eligible for a particular prize (i.e. top ten)
- Information about when and how prize winners will be notified
Note: in the days leading up to your event, your CSM will provide you with a link to your Points Table. Save this link in a note or document, as you will be using it later on in the setup process.
Session Evaluation Survey
In addition a list of sessions, you will also want to provide your CSM with any Session Evaluation Surveys you would like attendees to take after a session has ended.
Each survey you submit should include the following information:
- The name of the session the questionnaire is for
- The questions you'd like to include along with information about their:
- Response type (i.e. multiple choice, rating scale, text input)
- Response options (if relevant)
- Requirement status
- Copy for any section headers you'd like to include (if you are grouping questions)
- Any additional information that may be useful to the person filling out the survey
Next Steps
Once you have emailed the above information to your CSM, our Support team will use it to set up Validar for your event.
No further action will be required from you until after the setup process has been completed.
Using Validar During Your Event
Point Tally
As we mentioned before, your CSM will reach out to you in the days leading up to your event with a link to your Points Tally.
Once you receive this link, we strongly recommend pinning it to your event's Public chat so guests can easily access it during your event.
Leaderboard
The Leaderboard is where you can view a list of attendees, the points they've earned, and their point ranking. You can access this list by selecting the Leaderboard tab at the top of the Engagement Panel.
Use the Search field to look up a specific attendee's points and rank.
Event Hub
The Event Hub is where all Session Evaluation Surveys are listed as well as information about your point score, ranking, and activity.
To access the Event Hub, select your profile picture in the top-right corner of the page then select the Hub Link icon from the dropdown.
Once you have been redirected, you will see a list of the Session Evaluation Surveys that were provided to your CSM.
Select a session's corresponding survey to answer questions and provide feedback.
Additionally, you will also see a My Score link at the top of the page. Select this link to view your Activity Details and Summary.
