GDPR Opt-In: How To Collect Consent During Event Registration

As an event organizer, regardless of whether your event is held online or outside of Europe if you have attendees from the European Union (EU), it's important to comply with the General Data Protection Regulation (GDPR) laws. These regulations require you to obtain explicit consent from EU residents and citizens before collecting and using their data. 

To help you comply with GDPR, Goldcast provides a standard "data share consent" field that you can add to your event registration form. You can use conditional formatting to show this field only to registrants from the EU, ensuring that you collect opt-in data consent from EU attendees.

Here’s how to set this up:

  1. Log in to Goldcast Studio and open your preferred event. 
  2. Click Registration → Page & Form on the left sidebar.
  3. Click the Edit button in the Registration Form section. This opens the Registration Form Builder.
  4. Drag and drop the Country field onto the registration form.  
  5. Make it a mandatory field by clicking its Edit icon, navigating to the Validation tab, and selecting the Required checkbox
  6. Click More Standard in the left sidebar. Drag and drop the Data Share Consent field on the form at your desired location. 
  7. Click the Edit icon. Navigate to the Display tab and change the Label as per your requirements. 
  8. Navigate to the Conditional tab, and set the This Component Should Display field to True
  9. Select Country (country) in the When the Form Component dropdown. Enter the values for the EU countries in the Has the Value(s) field and separate each with a comma. 

Note: Make sure to enter the Values for the country field and not the Labels in the Has the Value(s) field. For a complete list of the default values for each country, refer to this article

  1. Click Update and click Save

Note: Once you’ve set up the data share consent field, you can pass the registrant’s consent info to connected integration tools, like HubSpot, Salesforce, Marketo, Pardot, Eloqua, etc, via field mapping.
