Goldcast now offers the ability to store forms in a centralized Form Library, providing greater efficiency and consistency across events. This feature allows users to create, save, and reuse forms across multiple events while maintaining a single source of truth for edits and updates.
Note on Smart registration
Goldcast's Smart Registration feature is only available on forms saved in the Form Library. Smart Registration streamlines event registration by eliminating repetitive data entry, making it frictionless for attendees to register for your events. Organizers can reuse and manage forms efficiently across conferences, webinars, on-demand pages, and other assets. Learn more.
Accessing the Form Library
Navigate to the Form Library by clicking your profile icon in the top right corner of your admin panel.
Then select “Settings” and “Forms” to reach the library.

Creating Forms
Forms can be created in two ways:
Create a New Form
- Select New Form in the top-right corner.
- Toggle on Smart Form to enable.
- Choose the workspace(s) where the form will be available.
- Enter a title and an optional description for the form.
- Click Create to finalize.
Save an Existing Form to the Library: If a form has already been built within an event, users can open that form inside the event and click “Save to library” to store it in the Form Library for future use.
Adding Forms to Events
Once a form is saved in the Form Library, it can be added to any event as needed, ensuring consistency across multiple events using the same form.
Editing Forms
Library Forms:
- Forms stored in the library cannot be edited within a specific event.
- To modify a form, edits must be made directly in the Form Library.
- Any changes made in the library will automatically update on all events using that form.
One-time Event-Specific Forms:
- If an event requires unique form fields, users can create a one-time form specific to that event.
- One-time forms are not linked to the library, and edits made to them only apply to that event.
- This is useful for event-specific needs such as dietary restrictions, special accommodations, or tailored questions.
Key Considerations
- Library Forms offer consistency: Any updates to a form in the library will reflect across all events using that form.
- Event-Specific Forms allow flexibility: Custom forms ensure that unique event needs are met without affecting other events.
- Editing restrictions: Library forms must be edited in the library, while custom forms can be edited within individual events.
By leveraging the Form Library, users can maintain uniformity across events while also allowing for flexibility when needed.
For organizers
- Organizers can create and reuse forms across events, webinars, videos, and other assets. They can use the centralized form library in Goldcast to view, edit and modify all registration forms in their organization.
- Changes to any form field will be automatically applied to all events using that form.
- Organizers will be able to continue mapping form fields to MAPs and CRMs as always.
- Organizers can continue configuring forms in an event template and apply them consistently to all events and webinars created using that template.
- Organizers can use shared registration forms (which are common across events) or create individual registration forms for specific use cases. For example, if you're hosting a one-off in-person conference, you can create a separate registration form for it, which is different from the global registration form you use for all your virtual events.

1: How will Smart Forms work with team workspaces?
You can choose to make a smart form available to your whole organization (all team workspaces), or limit it to just one specific team workspace — totally up to you.
2: What if my event needs a custom form field?
You’ve got two options:
- Reusable: Build a custom form in your form library with the unique field (great if you’ll want to reuse it later).
- One-time: Add the unique field to a one-off form tied only to that event. Any changes made to a one-time form won’t affect other events.
