Allow Employees to Join Internal Events Using SSO (No Registration Required)

Introduction

Goldcast makes it easy to host internal company events—such as all-hands, town halls, trainings, or AMAs—without requiring employees to register. With SSO-based access, employees can join internal events using a single shared link and their company login, creating a seamless, meeting-like experience.

How To Access on Goldcast Studio Platform

Platform Panel → Events → (open a desired event) → Edit Event → Allow Employees to Join via SSO

 

What Is SSO-Based Event Access?

SSO-based access allows employees to join internal Goldcast events by authenticating through your company’s Single Sign-On (SSO) provider (such as Okta, Google Workspace, or Azure AD), instead of completing a registration form.

When enabled:

  • Employees don’t need to register.
  • Organizers don’t need to upload attendee lists.
  • A single event link can be shared internally.
  • Access is restricted to verified employees only.

When Should You Use SSO-Based Access?

SSO-based access is ideal for:

  • Company all-hands or leadership updates.
  • Internal trainings or enablement sessions.
  • Department meetings, AMAs, or town halls.
  • Any event meant for employees.

For external-facing events, such as customers, prospects, and partners, standard registration should still be used.

When both internal and external attendees need to join, external guests can still register for the event and join using their magic link.


How SSO-Based Access Works for Attendees

  1. An employee clicks the internal event link shared via Slack, Teams, or email.
  2. They are prompted to sign in using company SSO.
  3. Once verified, they are redirected straight into the event—no forms, no friction.

Enable SSO-Based Access for an Event

SSO-based access can be enabled either at the template level or for an individual event.

Use this if you host recurring internal events.

  1. Go to Templates in Goldcast.
  2. Create a new template or open an existing one.
  3. Click Edit.
  4. Turn on Allow Employees to Join via SSO toggle within the Template settings.
  5. Save the template.

Any event created using this template will automatically allow SSO-based entry.

Option 2: Enable SSO on a Single Event

  1. Open your event in Goldcast.
  2. Open the Edit Event drawer.
  3. Turn on Allow Employees to Join via SSO toggle within the Event settings.
  4. Confirm the warning message and proceed.

⚠️ Important

Once SSO access is enabled for an event, it cannot be turned off.

 

What Happens When You Enable SSO Access?

When SSO access is enabled:

  • All the employees/users within your directory are automatically registered for the event. As a result of that, confirmation emails are sent out.
  • A common event access link is automatically generated.
  • Employees can join using only that link + SSO.
  • Manual registration is no longer required for employees.
  • External attendees (if needed) can still register for the event using the standard flow and access the event using their magic links.
  • Our backend job finds out any new additions to the directory, and register them for the event. Similarly, for people getting removed from the directory are de-registered from the event.

Enabling SSO access for the event will automatically register all employees in your SSO directory. As a result, confirmation emails will be sent to those users. You can disable these emails from the Email Schedule section within your event.

Please note that it may take some time for all registrations to appear in the Registrants tab.

SSO Directory Sync & Event Access

SSO Directory Sync for the events can be setup in two ways:

  1. Sync a Specific User Group (Recommended)
    • You can create a dedicated user group within your SSO provider and link that group to Goldcast.
    • Only users in the selected group will be synced to Goldcast and auto-registered
    • This gives you more control over who is automatically added.
  2. Turn OFF Directory Sync
    • If you do not want to auto-register users from your full SSO directory or group, directory sync can be turned OFF from the backend.
    • In this case, event organizers must manually register users in Goldcast.
    • Manual registration options include:
      1. Bulk imports
      2. Registration page sign-ups

If SSO is turned ON for the event, users can access the event via the common event access link after successful SSO verification.

To enter the event using common event access link, a user must meet both of the following conditions:

  1. Be part of the connected SSO directory
  2. Be registered for the event

If either condition is not met, the user will not be able to access the event.

 

Sharing the Event with Employees

You can share the common event link via:

  • Slack or Microsoft Teams.
  • Internal email announcements.
  • Company intranet or calendar invites.

Anyone with access to your company's SSO can use the link to join.


External Attendees and Mixed Audiences

If your internal event includes a small number of external guests:

  • External attendees can still be manually registered.
  • Share their magic links individually.
  • Employees continue to join via SSO.

SSO access does not impact standard external registration flows.


Safeguards & Important Notes

  • Enabling SSO access will register all the employees/users within your SSO directory.
  • As a result, confirmation emails will be sent to those users. You can disable these emails from the Email Schedule section within your event.
  • You’ll see a confirmation warning before creating or duplicating an event with an SSO-enabled template. A similar warning is also shown while enabling SSO at an event level. Make sure the emails are branded and ready to be sent before enabling the SSO.
  • External events are not affected by SSO access settings.

Run internal enablement sessions without managing attendee lists or uploads.


FAQs

1. Can I turn SSO access off after enabling it at an event level?

No. Once SSO access is enabled for an event, it cannot be disabled.

2. Does this replace registration for external events?

No. External events continue to use standard registration unless SSO is explicitly enabled.

3. Do employees need a Goldcast account?

No. Employees authenticate using your company's SSO and are registered automatically.

4. Can I limit access to specific departments?

Not yet. Currently, SSO access applies to all verified employees. More granular controls may be added in the future.
