Understanding Custom Role Permissions

Learn how to effectively create and manage custom role permissions for enhanced security and tailored access in your applications.

Introduction

Custom roles allow you to control what users can access and manage across your account and live events. Permissions are divided into two main sections, making it easy to assign the right level of access based on a user’s responsibilities.

When creating a custom role, you can control two types of roles: Studio or Event Role.

  1. Studio Role – Allows you to create a role that controls access to account-wide settings, content, and event setup.
  2. Event Role – Allows you to create a role to control what users can do during live events and sessions.

This help article explains all the permissions available to you while creating the two types of roles.


Studio Role

Studio permissions determine what users can do within the Studio application or the Admin console. These permissions apply across the account and affect setup, configuration, content creation, and management.

Account Settings

Permissions What this allows you to do
Create Email Domains Add new email domains for account-level email sending.
Delete Email Domains Remove existing email domains from the account.
View Email Domains View configured email domains. This is available by default to all users.
Edit Account Marketing Tags/Pixels Modify existing account-level marketing tags or pixels.
View Account Marketing Tags/Pixels View configured marketing tags and pixels. This is available to all studio users by default.
Create Vanity URLs Create custom vanity URLs.
Delete Vanity URLs Remove existing vanity URLs.
Edit Vanity URLs Modify existing vanity URLs.
View Vanity URLs View configured vanity URLs. This is available to all studio users by default.

Branding

Permissions What this allows you to do
Send Email Send or schedule emails from the platform, including from the registrant, speaker, staff tabs, and email schedule.
Create Email Template Create new email templates.
Delete Email Template Delete existing email templates.
Edit Email Template Edit existing email templates.
Edit Look and Feel Customize branding, styles, and visual appearance of the Stage Look and Feel.
Edit On-Demand Pages Edit pages for on-demand content.
Edit Registration Page Edit event registration pages.

Events, Series & Repeating Events

Permissions What this allows you to do
Create Events Create new webinars, events, or series.
Delete Events Delete existing webinars, events, or series.
Edit Event Details Edit details within events and series, including agenda, speakers, staff, booths, rooms, and related settings.
View Events View webinars, events, or series in the account. This is available to all studio users by default.

Forms

Permissions What this allows you to do
Create Form Library Forms Create forms in the form library.
Delete Form Library Forms Delete existing form library forms.
Edit Form Library Forms Edit existing form library forms.
View Form Library Forms View form library forms. This is available to all studio users by default.

Hub Pages

Permissions What this allows you to do
Create Hub Pages Create new hub pages.
Delete Hub Pages Delete existing hub pages.
Edit Hub Pages Edit existing hub pages, including page design, page settings, and tracking pixels & tags.
View Hub Pages View hub pages. This is available to all studio users by default.

Integrations

Permissions What this allows you to do
Create Event Integrations Create integrations for specific events.
Delete Event Integrations Delete event-level integrations.
Edit Event Integrations Edit event-level integrations.
Create Account Integrations Create integrations at the account level.
Delete Account Integrations Delete account-level integrations.
Edit Account Integrations Edit account-level integrations.
View Account Integrations View configured account integrations.

Reports & Analytics

Permissions What this allows you to do
View Account Reports View reports and analytics at the account level. This is available to all studio users by default.

Roles

Permissions What this allows you to do
Assign Custom Roles Assign custom roles to users.
Create Custom Roles Create new custom roles.
Delete Custom Roles Delete existing custom roles.
Update Custom Roles Update permissions for custom roles.

Tags

Permissions What this allows you to do
Create Tags Create new tags.
Delete Tags Delete existing tags.
Edit Tags Edit existing tags.
View Tags View tags. This is available to all studio users by default.

Team Management

Permissions What this allows you to do
Create Team Workspaces Create new team workspaces.
Delete Team Workspaces Delete existing team workspaces.
Edit Team Workspaces Edit team workspaces.
View Team Workspaces View team workspaces. This is available to all studio users by default.

Templates

Permissions What this allows you to do
Create Event Templates Create new event templates.
Delete Event Templates Delete existing event templates.
Edit Event Templates Edit existing event templates, including look and feel, registration pages, on-demand pages, integrations, event template details, and emails. Granular permissions are not required for individual settings within templates.
View Event Templates View event templates. This is available to all studio users by default.

User Management

Permissions What this allows you to do
Create Users Add new users to the account.
Delete Users Remove users from the account.
Edit Users Edit user details and settings.
View Users View users in the account. This is available to all studio users by default.

Event Role

Event App permissions control what users can do during a live event or session. These permissions are focused on real-time engagement, moderation, and production. They are assigned to speakers and staff members of an event.

Permissions What this allows you to do
Reply to Q&A Respond to questions submitted by attendees in the Q&A module.
Moderate Session Chat Allows user to delete chat, publish chat to stage, push chat to Q&A and pin chat.
Open and Close Polls Start and stop polls during a session.
Moderate Q&A Manage attendee Q&A submissions. This includes actions such as: deleting, marking as answered, marking priority.
Open and Close Surveys Launch and close surveys for attendees.
Push Session Chat to Q&A Move selected chat messages into the Q&A module. Also allows you to have pin messages in chat.
Share Polls to Stage Display polls on the stage for attendees to see.
Share Q&A to Stage Display Q&A content on the stage.
Publish Session Chat to Stage Display session chat messages on the stage. Also allows you to have pin messages in chat.
View Polls View existing polls.
View Q&A View submitted Q&A questions and responses.
Manage Raise Hand Requests View, Approve and Reject the raised hand requests from attendees
Moderate Room & Booth Chat Allows user to delete chat, publish chat to stage, push chat to Q&A and pin chat.
Moderate Public Chat Allows user to delete chat, publish chat to stage, push chat to Q&A and pin chat.
Pause Event Recording Pause and Resume the event recording
Mute Room Attendees Mute attendees within a room.
Publish Session Ticker Messages Publish scrolling ticker messages during a session.
Share Slides Share presentation slides to stage for the attendees to see.
Go On Stage Join the stage as a speaker or presenter.
Modify Stage Layout Change how speakers and content are arranged on stage.
Publish Images/Logos to Stage Display images or logos on the stage.
Publish Overlay to Stage Add visual overlays to the stage.
Share Computer Screen Share a computer screen to stage with attendees.
Play and Stop Videos Play videos on stage for the attendees to view
Publish Event Ticker Messages Create and publish Global announcement for all attendees to see
Control Run of Show Notes Manage notes within Run of Show
Launch Speaker Alert Messages Send alert messages to speakers using the backstage chat
Modify Live Run-of-Show Make changes to the live run-of-show.
Edit Run of Show Cues Edit cues within the event run-of-show.
Move Speakers to Stage Bring speakers onto the live stage.
Mute Speakers Mute on-stage speakers’ audio.
Start and End Sessions Start or end live sessions. For this option to be available at the backstage, the Session Redirection Strategy must be set to “Manual”. This can be found in the Agenda Settings.
View Attendee Count View the number of attendees in a session
Start In-Person Streaming Start and stop in-person streaming for field events
Start and End Agenda Items Start and end rooms, booths and breaks
See Attendee View Preview the event as an attendee would see it.

Choosing the Right Permissions

When creating custom roles:

  • Use Studio Role for users responsible for setup, configuration, and management within the Studio application or the Admin console.
  • Use Event Role for staff members and speakers responsible for live execution and moderation of events.

Assigning the right permissions ensures your team can work efficiently while keeping your account secure.
